Terms & Conditions for Stem 

  1. Class Attendance, Punctuality and Requirements

    • Students are expected to attend all classes punctually.

    • In the event of absence, students must notify the instructor or administration as soon as possible.

    • Only laptops capable of installing software can be used. Chromebooks will not be allowed due to their inability to install required class software.

    • Laptops must be fully charged before the start of each class.

    • Installation of necessary software will be coordinated by the admin, 2 weeks prior to classes starting. If email is not received. Contact admin- admin@roohstudio.com

    • Make sure to select the exact program wanted and call location or email admin to make sure classes are running at that location.

    • Read roohstudio.org/stem before enrolling for any programs.

  2. Cancellation Policy, Refund and makeup classes

    • Classes will proceed as scheduled unless affected by severe weather conditions or official government holidays.

    • If a class is canceled due to the aforementioned reasons, a makeup class will be scheduled at the earliest convenience.

    • Non-Refundable Policy: Please note that all purchases are non-refundable under any circumstances. 

  3. Behavioral Expectations:

    • Students are expected to demonstrate respectful behavior towards instructors and fellow classmates.

    • Disruptive behavior, including but not limited to, disrespect, bullying, or any form of harassment, will not be tolerated.

    • The institution reserves the right to take appropriate disciplinary action in cases of misconduct.

  4. Payment and Fees:

    • Tuition fees must be paid in full before the commencement of classes.

    • Fees are non-refundable except under exceptional circumstances, as determined by the administration.

  5. Materials and Equipment:

    • Students are responsible for bringing any required materials or equipment specified by the administration/ instructor.

    • Any damage to property caused by negligence or misconduct will be the responsibility of the student or their guardian.

  6. Intellectual Property:

    • All course materials, including but not limited to, textbooks, presentations, and handouts, are the intellectual property of the institution.

    • Unauthorized distribution or reproduction of course materials is strictly prohibited.

  7. Safety Regulations:

    • Students must adhere to all safety regulations and guidelines provided by the instructor.

    • Failure to comply with safety protocols may result in dismissal from the class.

  8. Liability Waiver:

    • Roohstudio shall not be held liable for any injuries, accidents, or damages that occur during classes or related activities.

  9. Changes to Terms and Conditions:

    • The institution reserves the right to amend or update these terms and conditions as necessary. Students will be notified of any changes in advance.

Terms & Conditions for Events

Cancellation and Rescheduling

  • The event is subject to cancellation or rescheduling due to weather conditions, safety concerns, or other factors beyond the organizer's control.

  • If the event is cancelled by the organizer, participants will receive a full refund.

  • If the event is rescheduled due to rain, it will be moved to the same day the following week.

  • A minimum 24-hour advance notice is required for rescheduling events. Events rescheduled with proper notification will be accommodated.

Liability

  • The organizer does not provide insurance and is not liable for any harm, injury or loss incurred by participants.

  • Participants acknowledge the risks and do not expect indemnification from the organizer.

Changes to Itinerary

  • The planned itinerary may change due to permit availability, trail closures, weather, or other factors.

  • No refunds will be issued if the itinerary changes, but the overall trip duration remains the same.

 

Non-Refundable Policy

Please note that all purchases related to the event are non-refundable under any circumstances. This policy is in place to ensure the viability and success of the event.

Behavioral Expectations

We are committed to providing a safe, respectful, and enjoyable experience for all participants. We expect all attendees to behave in a professional and appropriate manner. Failure to comply with these behavioral standards may result in immediate removal from the event without a refund or re-invitation to future events. This includes, but is not limited to, harassment of any kind, disruptive behavior, and non-compliance with event rules and directions. By purchasing a ticket and participating in the event, you agree to these terms and conditions. We look forward to delivering an engaging and impactful experience for all involved.

Notice of Non-Liability for Accidents

Please be advised that by participating in this event, attendees agree to assume all risks associated with their participation. The organizers, volunteers, partners, and any other parties involved in the organization and execution of this event shall not be liable for any injury, loss, or damage of any kind sustained by any person while participating, including injuries, loss, or damages which might be caused by the action, inaction, or negligence of others. Participants acknowledge that this event involves inherent risks and dangers that may not be fully foreseeable, including but not limited to personal injury, property damage, and death. By attending, participants fully assume all such risks and agree to release and hold harmless the event organizers and their representatives from and against all claims, damages, liabilities, costs, and expenses arising out of their participation. This notice does not seek to limit or exclude any liability that cannot be legally limited or excluded under applicable law.

Participation in the event signifies acceptance of these terms and understanding of the risks involved.

Media Release

By attending any event organized by RoohStudio Organization ("Organizer"), you grant the Organizer and its affiliates, partners, sponsors, and licensees the perpetual, worldwide right to:

  • Photograph, record audio/video, and capture your image, likeness, voice, and statements ("Media Content")

  • Use, reproduce, distribute, and create derivative works from the Media Content

  • Display and publish the Media Content for promotional purposes on any media platform

You waive any right to inspect or approve the use of the Media Content. You release the Organizer from any claims related to the use of the Media Content, including rights of privacy, publicity, or compensation.

Assumption of Risk

You assume all risks associated with attending the event, including any risks that may be caused by negligence of the Organizer or event participants. You accept full responsibility for your participation.

Code of Conduct

You agree to abide by the Organizer's Code of Conduct and any rules or instructions provided during the event. The Organizer reserves the right to remove any attendee for unruly, disruptive, or unlawful behavior.

Limitation of Liability

To the maximum extent permitted by law, the Organizer shall not be liable for any direct, indirect, incidental, special, or consequential damages resulting from your attendance or participation in the event.

Terms & Conditions for Dance Competition

1. Eligibility: This competition is open to individuals of all ages. Participants under the age of 18 must have consent from a parent or guardian to enter. There are no restrictions on dance styles; participants can submit performances in any dance genre.

Non-Refundable Policy:

Please note that all purchases are non-refundable under any circumstances. 

2. Registration and Entry Fees:

  • Participants must register by form with their entry video and personal details as required.

  • A non-refundable entry fee of $10 USD per individual must be paid for each submission. This applies to both solo and group entries. For groups, each member must pay the entry fee.

3. Submission Guidelines:

  • Entries must be submitted during the specified dates for each session: May 1st–30th for the Spring Session, and November 1st–30th for the Fall Session.

  • Videos must be no longer than 5 minutes and should meet the quality and format criteria provided at registration.

  • Submissions must be made via our online form

4. Judging and Criteria: Entries will be judged on the following criteria: Costume, Backdrop, Creativity, Style, and Technique. The decision of the judges will be final and binding in all respects.

5. Prizes:

  • The winner of each session will receive a prize.

  • Prizes are non-transferable and must be accepted as awarded. No cash alternatives or substitutions will be allowed.

6. Winner Announcement: Winners will be announced within two weeks of the last submission day of each session on our official website and social media channels. Winners will also be notified by email.

7. General Conditions:

  • Participants agree to allow free use of their names, photographs, and videos in connection with the competition.

  • The competition organizers are not responsible for late, lost, damaged, misdirected, or illegible entries, nor for any technical mishaps or failures of any kind.

  • Entry into the competition constitutes acceptance of these terms and conditions.

8. Data Privacy: All personal information collected from participants will be used solely for the purpose of administering the competition and will not be shared with third parties without consent.

9. International Participation: International participants are welcome. Please note that all transactions will be processed in USD, and the prize will also be awarded in USD.

10. Fraud and Unauthorized Use:
Participants are required to submit original content that they have legally created. The use of unauthorized videos, including the use of material without the right to distribute or material that infringes on the intellectual property rights of others, will result in immediate disqualification from the competition. The organizers reserve the right to take legal action against anyone who commits fraud or uses unauthorized content in their entry.

WINNERS AND PRIZES

The winner of each style, age group, and category will receive a certificate stating the entrant’s names, the name of the dance piece, the choreographer’s name, and the style, age group, and category won.

Important: if the judges deem the level of entries in any particular category, style family, or age group not at a level sufficient to pass to the Second Round or to be awarded a winning prize, we reserve the right to decide that a particular category will have no Finalist, or no Winner.

Note that all Finalists, regardless of whether or not they are a winner in their Division, also have a chance at winning the Overall Performance Prize (Grand Prix).

OVERALL PERFORMANCE PRIZE (GRAND PRIX)

One Overall Performance Prize will be granted to the most outstanding overall performance of the entire competition. All finalists across all age groups, categories, dance styles, and divisions will be automatically entered and considered for this prize.

Note that, whereas the winners of each category are determined by the judge of that specific category, the Overall Performance Prize is judged by all of the judges together, and/or by the Director of the Competition. This means that the winner of the Overall Performance Prize will not necessarily be one of the Dance Division or Choreography Division winners.

DANCE COMPANY REPRESENTATION

Company names and logos are allowed in choreographers’ videos. Any choreographer who becomes a First Round Finalist will have their video posted on the Finalist Gallery of the website, along with the company’s name and website (provided the company name and website were included when filling out the competition entry form).

WINNERS AND PRIZES

Three winners will be chosen for the each Division (1st, 2nd, and Lucky draw), and 

the money prizes will be awarded to each Division winners:

​Note that all Finalists, regardless of whether or not they are a winner in their Division, also have a chance at winning the Overall Performance Prize (Grand Prix).

JUDGING CRITERIA

Choreography will be judged on Originality, Structure, Development, Pacing, Musicality, and Coherence, regardless of dance style or cast size.

ADDITIONAL RULES AND PERTINENT INFORMATION

All entries must be paid for, and entrants must accept the Terms and Conditions to be officially entered into the competition.

Please note that any violation of these rules or the Terms and Conditions will result in disqualification. Disqualified entrants will not receive refunds.

Dancers (and their parents/legal guardians, if applicable) and organizations must agree that if they advance past the First Round, their videos, names, and website URLs will be published in the Gallery of Finalists on the RoohStudio website. Excerpts of videos may be used for promotional purposes.

Finalists or Winners may be asked to do video interviews for public broadcast. This may involve self-taping with a smartphone.

There is no limit to how many times you may enter or the number of styles and categories you may enter. However, you may not submit the same piece with the same dancers more than once. You may enter the same dance piece more than once if the dancers in each entry are different, or if the piece is entered by the choreographer in the Choreography Division while the same piece is entered by the dancer in the Dancer Division.

Any entry displaying suggestive and/or inappropriate content will be disqualified.

Judges' decisions are final. In the event of a tie, judges will choose a winning entry at their discretion. Public votes may be considered in ties.

Judges' scores will not be made public. For feedback, contact info@roohstudio.org. Face-to-face video conferences with judges may be possible for an extra fee.

Money Prizes: All money prizes will be sent electronically. Winners will be notified within two weeks of the final determination of winners. If you do not respond within ninety (90) days, your right to receive the prize money will be void.

By entering this competition, participants agree to be bound by these terms and conditions and affirm that they are eligible to participate under these terms.
